Students will now be able to clock in and out using a smart device from a clinical site and have their locations recorded (longitude, latitude) with the time record. The feature isn't fool proof - there are apps available that claim to "spoof" the correct location so we still recommend human verification/approval of records - but this will certainly give a new option to many students who visit clinical sites where a computer is not available to clock in. The student must have a smart device with a GPS chip such as many smartphones have - and access to the internet via a cellular connection or wi-fi using a web browser. Note that some tablets do not contain GPS chips.
Students may access the mobile login page by clicking the Login Link in the top right corner of www.trajecsys.com or go directly to trajecsys.com/programs/.
Additional documentation for its use, plus pages related to resetting the location warning and improving accuracy, are available in the Student Help section here.
We recommend that each program develop specific policies related to the use of GPS - under what circumstances it may be used (no computer available, etc.), what distances from the clinical location are considered acceptable, and what the procedure or policy is when accuracy is not agreed to by the student, for example.
Note that from the Times-->Approval page, there is a column marked "Location." The location contains the coordinates of the location of the student and a map can be pulled up showing that location by clicking. the pin. A red pin denotes that the location has not been confirmed by administrators as the accepted correct location, and the orange coloring of the box indicates that either the student has disagreed with the identified coordinates from the clockin page or that they have refused to allow geolocation services by Trajecsys. Roll over the colored area to see the message. A location can be approved by clicking the red pin, bringing up a map: The administrator can then approve the location by clicking the green button at the bottom of the page "Yes, location is correct." Thereafter, 2 icons will appear when the administrator opens a map: the blue icon - the approved location - and the green icon - the student's reported location.
This page appears on a student's individual approved time record summary. As on the Approve page, there is a column "Location." The pink block means that the location does not match the location, which has been identified and approved as denoted by the black pin (not red).
