Resetting Student Status

Students who do not graduate should usually be set to inactive status from the Users-->Manage page by clicking the dropdown in the Status column. Students who graduate should be set to alumnus status in the same location; however, if administrators do not reset the student to alumnus status within 30 days of the end date specified in the Payment Arrangement the student is in, they will be set to alumnus status automatically.

Students should be notified prior to the end access date that they should print out their records; they can do this by visiting the Reports area. An export option is not provided to students. Students will lose access to Trajecsys Report System data after they are set to alumnus status or on the end access date, whichever is first.

There are several differences between setting a student to Inactive or to Alumnus. Inactive students are not included in any searches and records are not available any longer; should a student who has been set to inactive return to the program, contact Trajecsys support to request that the person be reset to student status. All of the student's previous records will likely be available again. It is probable that an additional fee will be required.

Alumnus records are available for several years after graduation; you will see an alumnus option on the Reports-->Exports: Evals and Forms page as well as elsewhere. Select that option and set date ranges to pull up all persons set to alumnus status within that time period. Note that this does not necessarily bring up a "class". Other reporting capabilities for alumni are also weaker, due to continuously enhanced features that are added that may not have been available at the time of graduation. For this reason, we strongly recommend exporting records to a local or network drive for all student records during the 30-day window following the end access period.

Records can be exported in two places:
Reports-->Export: Tims/Comps/Skills - Time records, logsheets, comp exams, skill summaries
Reports-->Export: Evals and Forms - Evaluations
