Scheduling Evaluations

There are two types of evaluations which may be scheduled: student performance evaluations and site evaluations. There are two main reasons why these can be individually scheduled.

First, if they are scheduled, then our system will be able to alert you if they are not filed on time. This is done by the generation of an automated email to the clinical coordinator 5 days (or a custom date you set) after the evaluation should have been completed by the student (site eval) or instructor (student performance eval). In addition, clinical instructors and students will receive automated reminders following the due date based on the custom notification timeframe you set. If there are multiple clinical supervisors at a site, you may not wish all of them to receive an email notification if a student's evaluation has not been completed. You can turn off these notifications to clinical instructors from the "Assign Sites" page under Roles (by unchecking the reminders box).

Second, the scheduling of the evaluation allows you to require evaluations at different times, sites, or for different student groups.

Multiple dates, sites and/or students can be scheduled simultaneously from the Eval/Form Setup->Eval Schedule Dates page; administrators are not limited in the number of evaluations required. However, evaluations cannot be selected for completion until 4 days before the scheduled date. They will remain available indefinitely until completed. In addition, students will receive notification of an upcoming site evaluation on the clock in page until it is completed.
