Completing Evaluations

Each program is free to create evaluations or forms which they may request an evaluator group to complete. The evaluator groups may be faculty, site-based persons (instructors/supervisors or site employees) or students. While comp exams are tied to evaluating the proficiency of students to specific activities, all other evaluations, found on the Evaluations page available from the home page, may assess other groups or things - the subject of an evaluation may be students, faculty, supervisors, sites or "other". 

Each program will provide its own evaluation criteria and its own rating scale. This program has set a default rating of 7. You need only change those items which you do not consider to be at the default level if your program administrator has enabled default scoring. Different programs have different scoring systems.

In many programs, you will be required to add a comment to explain any score below a level that has been established by the program administrators. For the program above, you would be asked to add a comment if you scored a student below 7. If such a requirement exists, you will be asked to complete the comment before the evaluation is accepted by the system.

Evaluations can be "Scheduled" or "Unscheduled." A scheduled evaluation means that a specific date for completion has been specified. The evaluation will not be available until 4 days prior to that date. It will remain available until it is completed. If the program has so specified, your automated reminder notifications may be sent out to evaluators if an evaluation is not completed by the specified date.

If an evaluation is "Unscheduled" it will remain available for completion. Check with the program to determine when an evaluation of this type should be completed.

You will note that there is a "Save for Later" checkbox available at the bottom of each evaluation. If an evaluation which has been begun cannot be completed promptly, choose "Save for Later" so that you may return to it later. When submitted, the original start date will be displayed as the date of submission, not the completion date.

Click the submit button when you've completed the evaluation and wait until you are notified that it is saved. If you've forgotten to fill something out, you will be asked to complete the evaluation by returning to it; you may also be asked to complete the evaluation by adding a comment (there will be a red square around the comments box) if a comment is required due to a low score rating. After saving, the evaluation will now appear to you, the student, and the faculty from inside the Reports menu item.


If you leave an evaluation without saving changes (you accidentally close the browser or another user logs into Trajecsys with the page open), a draft will automatically be saved.  When you return to the evaluation, you will have the opportunity to recover that draft by responding "Yes" to "You have unsaved data for this form.  Do you want to recover it?"
