Reports Overview

Several of the more often used reports are available from the Reports area of the Admin Panel. Currently, they are:

  • Skill Summary - displays a list of all procedures reported by a selected group of students along with other information reported by the student on the daily logsheet. In addition, it provides a few other things, including dates and hyperlinks to completed comp exams for each procedure. This report is also available to clinical site employees and to each student.
  • Rotation Summary - provides a summary of completed or scheduled site and student evals and the evaluator. Students can also see this data.
  • Student Eval - contains summary information on completed student evaluations performed by clinical site personnel. Student evaluation data is available to clinical instructors or other site employees, but only if they created the evaluation. Students can view their own evaluations.
  • Comp Eval - provides a list of completed evaluations, sortable by student, site, procedure and marked as approved/disapproved and validated or unvalidated. Also provides direct access to the any single completed comp eval. Individual comp exams are available to the student as a hyperlink from the skill summary. When completing a comp eval, site-based employees can see if a student has taken a specific exam before but cannot see the results of these evaluations.
  • Pathologies - Displayed only if pathology reporting is enabled. Visible only from the Admin Panel.

Other Admin Panel reports, available to faculty, clinical coordinators and program directors, are:
  • Ratings by Site - if you choose to enable this feature by making the menu link visible, you can request a "final rating" of the student by the clinical instructor; that is, an overall rating of the student's proficiency given his understanding of your program's requirements of a student at a specific performance level.

  • Student Eval Comments - provides an area to view all comments related to a student or site at once. Comments are also available in the legend of each student evaluation report. Also note that you can sort on any item within the student eval.
  • Site Evaluations - You may view any student's site evaluation. A Site Evaluations Comments report is also available here. Note that the site evaluation report also provides rolling 120, 365 and 730 day averaging of the results of all student evaluations with the individual report presented.

  • Comp Evals/Validation - provides both viewing of a summary of individual comp eval reports and access for editing of individual reports via the edit icon. Note also that you can review whether an evaluation has been approved or disapproved, either by the evaluator or by settings determined in the set scoring area.

Validation is a way of marking an exam. You may use it for whatever reason you wish. Many programs use it to show that they have examined the results of a comp exam, or that a student has completed other components of achieving competency in the procedure (such as interpreting an image or answering questions orally).  You may select all presented exams for group validation by selecting the checkbox to the right of the "V*" at the top of the report.

You can validate a comp exam, mark it approved or disapproved, or comment on it by clicking the edit icon to access the actual exam. You can also delete the evaluation completely by selecting "Delete Evaluation". As with many other reports in our system, selecting "Delete Evaluation" doesn't really delete the evaluation, it just hides it from further viewing and removes it from any calculations. The act is reversible by contacting Trajecsys employees and requesting to restore on the rare occasion that you make a mistake.
  • Eval Deadlines - is both a report and the location where you "schedule" student and site evaluations. Both types of evaluations must be set by date, student and site before the evaluator can complete them.  See the Eval Deadlines page for more information.  Note that you can delete only uncompleted scheduled evaluations on this page, not those that have already been completed. You may visit the two pages below to delete completed evaluations. Deletion will trigger emails to the persons who created the evaluation.
  • Completed Student and Site Evals - you can delete student or site evaluation data from these areas or change the due date of the evaluation from here. Removal of the evaluation by deletion from either page will result in removal of the evaluation from the Eval Deadlines page also.
  • Surveys - this area will soon be removed as we are currently in beta testing of a much more powerful survey creation tool. We do not recommend creation of surveys due to the limited reporting capabilities.
  • Physician Signatures - some programs ask students to collect physician signatures after discussing specific topics. The clinical supervisor can then input this data for display on this page.
  • Procedures by Site - if you'd like to know which sites perform the most or least of a specific type of procedure, you can visit this page to view by site. Note that site, procedure and total columns are all sortable by clicking the up/down icons at the top of each column.
  • Remedial - This feature is no longer supported; however, programs using it may continue to do so.
